What You Will Be Doing
As a Facilities Coordinator, you will play a key role in supporting the effective and efficient management of property assets, ensuring all buildings, grounds, and facilities are maintained to the highest standard. Working closely with the Facilities Manager, contractors, tenants, and internal stakeholders, you will help deliver safe, compliant, and high-quality operational outcomes across the portfolio. This role operates in a fast-paced environment, requiring strong organisational skills and the ability to manage competing priorities. Your duties will include:
· Coordinating day-to-day operations including cleaning, security, waste management, and minor maintenance works
· Liaising with contractors and service providers to schedule, supervise, and ensure works are completed safely, on time, and to a high standard
· Acting as the key point of accountability for cleaning performance and service delivery
· Supporting the preparation and maintenance of asset registers, maintenance schedules, and compliance documentation
· Responding to tenant and stakeholder enquiries, resolving issues or escalating where required
· Maintaining accurate records of works, incidents, contractor performance, and reporting requirements
· Assisting with procurement of goods and services in line with company policies and budgets
· Participating in emergency response procedures and after-hours call-outs as required
· Coordinating and attending training sessions, toolbox talks, and contract inductions
· Building strong working relationships with internal teams, contractors, tenants, and customers
· Ensuring all incidents are reported promptly to the Facilities Manager
· Completing and verifying Risk Assessments and Safe Work Method Statements (SWMS) prior to works commencing
Skills and Knowledge Required
· Strong organisational and time management skills, with the ability to prioritise competing tasks
· Excellent communication and interpersonal skills
· Proactive problem-solving ability and a hands-on approach
· Sound knowledge of WH&S and compliance requirements
Ability to work under pressure in a fast-paced, high-demand environment
· Strong stakeholder engagement skills across multiple levels
· Proficiency in Microsoft Office and facilities management systems (desirable)
What You Will Need
· Previous experience in facilities, property, or asset management (desirable)
· Supervisory experience within a property or related environment
· Experience using computer-based work scheduling systems
· Relevant tertiary qualification in Facilities Management, Property, or similar (preferred but not essential)
· Trade qualification (advantageous)
· First Aid, WH&S, or similar certifications (desirable)
· Current driver’s licence
