Job Description

In this role, the successful applicant will support the City’s information functions, contributing to privacy, information management, and cyber security initiatives through administrative and project coordination, including documentation, governance, compliance, and reporting to ensure efficient delivery on a two-yearMaximum Term Full-time contract basis

The key responsibilities of this role:

  • Provide administrative and operational support across Privacy, Information Management, and Cyber Security projects and initiatives.
  • Develop, maintain, and coordinate project documentation including plans, registers, reports, budgets, and audits.
  • Ensure accurate document control, versioning, and records management in line with organisational standards.
  • Coordinate meetings, workshops, and project forums, including agendas, papers, and logistics.
  • Prepare and distribute minutes, action items, and follow-up to support timely delivery of outcomes.
  • Track actions and support stakeholder engagement to ensure effective communication and progress.
  • Prepare project status reports, dashboards, and governance documentation.
  • Maintain project registers including risks, issues, decisions, actions, and budgets.
  • Support governance processes through preparation of required documentation and reporting inputs.
  • Ensure compliance with information management, records management, privacy, and security policies.
  • Maintain accurate and secure project records in approved systems.
  • Provide administrative support to privacy, information governance, and cyber security initiatives

To be successful in this role you will have:

  • Experience providing high-quality administrative or project support role.
  • Sound understanding of Privacy, Information Management, and Cyber Security principles and their application in the workplace.
  • Strong organisational and time management skills, with the ability to effectively manage competing priorities and meet deadlines.
  • Strong written and verbal communication skills, including the ability to prepare accurate documentation and liaise professionally with a range of stakeholders.
  • High level of attention to detail, particularly in relation to document management, records management, and information handling practices.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Demonstrated ability to work collaboratively and build effective working relationships across teams and business areas.
  • Commitment to complying with organisational policies, procedures, and legislative requirements relating to privacy, information security, and records management.
  • Familiarity with project management methodologies
  • Experience using project management and collaboration tools, including SharePoint, Microsoft Teams, Jira, and Confluence.

Salary Package

In line with the City of Subiaco Inside Staff Industrial Agreement 2025, this position is classified as a Level 5. The salary range is $86,452.08 to $96,200.00 per annum, exclusive of superannuation.
