Full time
Twinza is a lean corporate and project management focused oil and gas developer working towards a genuinely exciting stage of a development project in Papua New Guinea.
You will report to the CFOO and support the broader corporate team, which means your work supports the full organisation and impacts each person in the team. The role is varied, your days will be full, and the expectation is straightforward, get things done well.
We are at the early stages of building systems and processes, and this role can make a mark as part of a team putting these essential support activities in place. You would be joining the business at a pivotal time.
Twinza is not a traditional hierarchical organisation, therefore your work support to Corporate and Project teams alike. The work is varied, it can be high level one minute, to the unglamorous but essential, the next. The expectation is that you get things done through your initiative. If you are a person who finds satisfaction in being the person who makes everything run, this role is for you.
We will consider an altered work week for the right candidate.
What You Will Be Doing
Travel coordination
Booking and managing domestic and international travel for staff, including complex multi-leg itineraries
Keeping across visa requirements and lead times for PNG, Southeast Asia, Australia and key business destinations so travellers are never caught short
Managing arrivals, departures and ground transport in line with our health, safety and security protocols
Identifying a system and implementing to make the process more efficient
Purchase to pay
Raising, tracking and receipting purchase orders for travel and other office expenditure
Processing invoices and resolving discrepancies before they reach Finance
Supporting the transition of travel and office expenses to a credit card-based process
Office Operations
Making sure the office is clean, presentable and always well stocked
Being the first point of contact for facilities and contractor issues and resolving them promptly
Managing the visitor and caller experience to a professional standard
Team support

What We Are Looking For
You will need to bring:
Solid experience in complex international travel logistics in Asia, ideally with GDS or comparable booking tools.
A working understanding of purchase-to-pay processes and the discipline to keep records clean. Demonstrated through a confidence working with staying within the contract guidelines, raising purchase orders, and getting approvals for the proper accounting.
Competence across the Microsoft Office Suite, particularly Outlook, Word, Excel and SharePoint
Demonstrated communication style and approach when working across different cultures, particularly in PNG and Asia which will be key locations for the project.
Strong spoken and written English and the ability to produce professional documents without someone needing to clean them up afterwards
The kind of attention to detail that means errors in bookings, POs or correspondence does not happen
Discretion when handling confidential executive, personnel and commercial information.
The ability to manage competing priorities across travel, office and support tasks without losing the thread
What This Role Is Not
This is not a role where you will sit at your desk waiting for tasks to arrive. You will need to notice what needs doing and get involved. If the kitchen is low on supplies, you sort it. If a contractor has not confirmed, you follow up. If a traveller is about to land and no one has arranged their transfer, that is on your radar before they ask.
The role suits someone who takes genuine pride in running things well, is comfortable being asked to work outside of their box and can switch between detailed administrative work and practical office tasks in the same day.
