About the role

AustEnergy Electrical Services is an electrical contracting company servicing residential, commercial, renewable energy, and air conditioning clients across Perth.

We are seeking an organised and proactive Administration & Operations Coordinator to join our team in Wangara, WA on a full-time basis. This role is critical to ensuring our day-to-day operations run efficiently and effectively while supporting our field teams and management.

You will be responsible for coordinating 10–15 field employees, managing schedules, monitoring job progress, and providing administrative support to help deliver outstanding service to our clients.

Key responsibilities

  • Schedule electricians and apprentices across multiple crews

  • Coordinate daily and weekly work programs

  • Monitor job progress and completion status

  • Manage urgent and reactive maintenance requests

  • Liaise with field staff regarding job updates and requirements

  • Ensure all required documentation is completed and maintained for specific jobs (SWMS, permits, compliance documentation, etc.)

  • Process invoices, purchase orders, and quotations

  • Manage supplier orders and deliveries

  • Maintain and update CRM and scheduling systems to reflect current operational status

  • Provide general administrative support to ensure the office operates smoothly on a daily basis

  • Act as a primary point of contact for internal and external communications, ensuring timely and professional responses

  • Assist management with operational reporting and workflow coordination

What we're looking for

  • Proven experience in an administrative or office support role, preferably within the trades, electrical, construction, or service-based industries

  • Strong organisational skills with the ability to manage multiple priorities and meet deadlines

  • Excellent written and verbal communication skills with strong attention to detail

  • Proficiency in Microsoft Office (Word, Excel, Outlook)

  • Experience with scheduling and job management software (ServiceM8, SimPRO, AroFlo, or similar)

  • Ability to work both independently and as part of a team

  • Professional demeanour with a strong customer service focus

  • Strong understanding of administrative best practices and business processes

  • A proactive problem-solving mindset with the ability to anticipate operational needs

Desirable

  • Experience with invoicing and accounts administration

  • Experience coordinating tradespeople or field service technicians

  • Knowledge of the electrical, construction, or service industries
