We are seeking a highly organised and proactive Project & Operations Coordinator to join our growing team. This is a diverse role that combines project coordination, executive support, document control, and commercial administration. Working closely with the CEO and leadership team, you will play a key role in ensuring projects, business operations, and commercial activities run efficiently.

Key Responsibilities:

Project Coordination

  • Prepare quotes and tenders.

  • Develop and maintain project schedules, action plans, milestones, and deliverables.

  • Assist with resource planning and coordination across projects and operational activities.

  • Prepare project reports, dashboards, and executive summaries.

  • Coordinate communication and information flow between departments and stakeholders.

  • Assist with business planning, reporting, and operational administration.

  • Maintain business registers, databases, and tracking systems.

Administrative & Executive Support

  • Provide administrative support to the CEO and leadership team.

  • Manage and prioritise executive correspondence, including monitoring emails and ensuring timely follow-up on key matters.

  • Prepare professional correspondence, reports, presentations, and meeting documentation.

  • Coordinate meetings, prepare agendas, record minutes, and track action items.

Document Control & Records Management

  • Maintain company and project document control systems.

  • Ensure accurate filing, version control, distribution, retrieval, and archiving of documentation.

  • Ensure compliance with document management procedures and company standards.

  • Maintain project records, contracts, correspondence, and operational documentation.

Commercial Support

  • Assist with tender submissions, proposals, and commercial documentation.

  • Coordinate client communications and stakeholder correspondence.

  • Support contract administration and the management of commercial records.

  • Compile management reports and executive summaries for decision-making purposes.

Skills & Experience

  • Experience in project coordination, administration, operations support, or a similar role.

  • Strong administrative, organisational, and document control skills.

  • Strong written communication and report-writing abilities.

  • Experience coordinating projects, schedules, and stakeholder communications.

  • Understanding of commercial processes, tenders, contracts, and client management.

  • Advanced Microsoft Office skills, particularly Outlook, Excel, Word, PowerPoint, and SharePoint.
