Our team are growing and we are now looking for a talented executive assistant to join our Perth based boutique office. The full-time executive assistant role works closely with the Managing Directors and Operations Manager to ensure administration functions are aligned to organisational strategy and client interface is professional and polished.
The Role:
Manage complex calendars, scheduling high-priority meetings and events.
Serve as the primary point of contact and liaison between management, internal teams, clients, and stakeholders.
Coordinate all aspects of team travel, including detailed itineraries, flight bookings, and accommodations.
Prepare and organise materials for meetings, presentations, and reports.
Draft, proofread, and manage executive communications, contracts and documents.
Plan and execute high-level corporate events, meetings, and client functions.
Anticipate the needs of leaders, proactively addressing issues and providing timely solutions.
Build and maintain strong relationships with key internal and external stakeholders to provide high quality customer service and optimise collaboration.
Management and facilitation of all IT matters for Perth office.
Ensure consistency in administrative processes, assist in on-boarding new staff, and oversee the performance of administrative support functions.
Coordinate and support the team's tasks to ensure all projects are completed on time, to the highest standard, and in alignment with organisational goals.
Assist in maintaining LinkedIn/Social Media & website presence to promote capability and ResourcesWA presence.
General office duties such as ordering office supplies.
Requirements:
2 + years' previous experience working as an executive assistant or fast paced administration position.
Exceptional organisational, time management, and multitasking skills.
Demonstrated professionalism, integrity, and the ability to maintain confidentiality.
Well-developed initiative and problem-solving skills.
Advanced experience in Microsoft Word, Outlook, Excel and PowerPoint software.
High level written and verbal communications skills and ability to liaise with stakeholders at all levels.
Exceptional attention to detail and focus on quality.
