Ability Housing is a specialist disability housing provider supporting people with complex disabilities to access high-quality housing across metropolitan and regional Western Australia.
We are seeking a highly capable Executive Office Manager to become the internal coordination and office control point for our small, fast-moving organisation.
This is not a standard administration role and it is not a business development role. The position exists to ensure that internal workflows, delegated actions, office systems, reporting cycles, staff follow-up and key business priorities are visible, tracked and completed.
Working closely with the Managing Director, you will help ensure the business runs with discipline, clarity and follow-through. You will coordinate actions across staff, maintain business trackers, monitor overdue tasks, prepare concise executive reports, identify administrative bottlenecks and escalate issues before they become larger problems.
This role would suit an experienced Executive Assistant, Office Manager, Practice Manager, Business Operations Coordinator or senior administrator who is ready for a broader role with real organisational impact.
About the role· Maintain daily and weekly office workflow visibility.
· Track actions, deadlines, owners and outcomes across the business.
· Follow up staff, contractors and suppliers on agreed actions.
· Prepare weekly executive summaries covering overdue actions, blocked items, revenue risks, cost risks and decisions required.
· Support disciplined use of systems including Microsoft 365, SharePoint, Monday.com and related business tools.
· Coordinate meetings, agendas, action summaries and follow-up documentation.
· Support document control, registers, templates and administrative systems.
· Identify workflow gaps, unclear ownership and process issues.
· Draft professional correspondence, reports and stakeholder communications.
· Support compliance, audit preparation and evidence collation where required.
About you
· Highly organised and calm under pressure.
· Confident following up others professionally and constructively.
· Experienced in senior administration, executive support, office management, practice management or business coordination.
· Systems-confident and comfortable working across multiple platforms.
· A strong written communicator.
· Commercially aware and able to recognise revenue, cost and business risks.
· Discreet, professional and able to handle confidential information.
. IT and social media literate
· Practical, proactive and willing to improve systems and workflows.
What this role is notThis role does not replace our Operations Manager, whose focus includes external stakeholder relationships, referrals and business growth. The Executive Office Manager is internally focused and ensures that office systems, staff follow-up, reporting and business actions are controlled and visible.
