About the role
Sowilo Community High School is seeking a dedicated and warm Administration Assistant to join our small dynamic administration team. In this vital role, you will be the first representative of our school, making a bubbly, warm, and genuine first impression for everyone who walks through our doors or calls our campus.
Based in Kelmscott, WA, this position offers a rewarding opportunity to work closely with current and potential students, parents, staff, and the wider school community. We are looking for someone to master our reception and attendance management functions—you will play a crucial role in seamlessly balancing these critical front-facing duties with essential administrative and daily support across the school.
What you'll be doing
You will oversee our reception and front-of-house area, cultivating a tidy, clean, and deeply welcoming atmosphere. This isn't just a corporate front desk—our students are teenagers navigating real challenges, and you will need to be able to respond to those who approach the office with patience, genuine care, and zero judgement. Beyond managing the front desk, you will own the attendance management processes and provide administration assistance across the school.
Key responsibilities:
First Impressions: Answer and respond to incoming calls and emails, answering queries where possible, transferring calls appropriately or taking and distributing messages.
Visitor Management: Welcome visitors arriving at the school, offer refreshments, maintain a clean reception space, and strictly oversee child safety protocols through the visitor sign-in and Working with Children (WWC) check processes
Student Support: Respond to students who approach the front office throughout the day with patience and genuine care, handling daily requests such as phone charging, providing stationery, and handing out keys for end-of-day jobs.
Attendance Management (SEQTA): Monitor daily roll completion by teachers; investigate discrepancies alongside teaching and welfare staff; contact families regarding unexplained absences; and maintain accurate attendance data in SEQTA in compliance with internal and legislative standards.
Enrolment & General Admin Support: Assist the Office Manager with enrolment administration tasks, and provide general daily administrative support to the school community.

Front Desk & Attendance Expertise: Minimum 3 years of administrative experience (preferably in an education setting), with high-level proficiency in Microsoft 365, student management software (ideally SEQTA), and attendance data compliance.
Strong Communication & Interpersonal Skills: Exceptional active listening and sensitive communication skills to effectively collaborate with staff, parents, and welfare teams.
Organisational Excellence & Attention to Detail: Exceptional multi-tasking and time-management skills, a commitment to high-quality customer service, and a strong understanding of confidentiality and privacy legislation.
Essential Credentials: A valid National Police Clearance and a verified Working with Children Check (WWC).
