We are currently seeking a professional and motivated Office Receptionist / Administration Assistant to join our team in Kwinana. This is a permanent full-time position with an immediate start available.

About the Role 

As the first point of contact for our business, you will play a key role in ensuring the smooth day-to-day operation of our office while supporting our accounts and administration functions.

This is a varied role that requires strong organisational skills, initiative, and a high level of attention to detail. You will be trusted to manage your workload independently while working closely with a supportive team that values collaboration and a willingness to help each other when needed.

While you'll be expected to work autonomously and take ownership of your responsibilities, you'll never be left to figure things out on your own.

We provide comprehensive in-house training across all aspects of the role and are committed to helping the right person develop their skills and grow with the business. As your experience grows, there will be opportunities to expand your responsibilities into accounts, payroll, and other administrative functions.

Key Responsibilities

Reception and Office Administration

  • Answer, screen, and direct incoming telephone calls

  • Greet visitors and provide a professional and friendly reception service

  • Perform general administrative duties including printing, scanning, filing, and document archiving

  • Maintain accurate records and office documentation

  • Monitor office supplies and assist with general office coordination

  • Support the wider team with day-to-day administrative requirements

Accounts and Administration Support

  • Match and enter supplier invoices

  • Collate invoices and reconcile supplier statements

  • Prepare Purchase Orders (POs) as required

  • Maintain accurate Work in Progress (WIP) records and assist with quarterly submissions

  • Prepare and issue client invoices

  • Assist the Accounts Manager with accounts and administrative functions

  • Support general reporting and office administration tasks as required

Future Development Opportunities

As you become familiar with the business and office processes, opportunities will be available to expand your skills into:

  • Payroll processing and payroll administration

  • Labour hire compliance and onboarding documentation

  • Employee records management

  • Additional finance and compliance responsibilities

About You

To be successful in this role, you will have:

  • Excellent verbal and written communication skills

  • Strong organisational and time-management abilities

  • A professional and friendly telephone manner

  • Exceptional attention to detail and accuracy

  • Strong computer skills and proficiency in Microsoft Office (Word, Excel and Outlook)

  • The ability to work independently and manage competing priorities

  • A positive attitude and willingness to assist team members where required

  • A willingness to learn new systems and processes and adapt to the changing needs of a growing business

  • Previous administration or reception experience (preferred)

  • Experience using MYOB (advantageous but not essential)

Most importantly, you will bring a willingness to learn, take pride in your work, and have a keen eye for detail.
