We're now looking for an organised, personable, and proactive Administration Assistant to join our close-knit team in our modern West Perth office.

About the Role

As our Administration Assistant, you'll be the backbone of our daily operations – keeping everything running smoothly so our accountants can deliver exceptional service to our niche clients.

This is a varied and dynamic role where no two days are the same. You'll interact with clients, support our professional team, and take ownership of key administrative processes.

Your Key Responsibilities

Client Experience & Reception

  • Be the welcoming first point of contact for our healthcare clients – answering calls with warmth and professionalism

  • Maintain a tidy, inviting reception area and meeting rooms

  • Coordinate meeting room bookings, set-up, and refreshments

  • Respond to general client queries with care and efficiency

Administrative Operations

  • Manage incoming and outgoing mail, including electronic document processing

  • Prepare invoices, update client records, and oversee client onboarding/offboarding

  • Coordinate the return of client documents and manage third-party requests (banks, financiers, etc.)

  • Collate and organise client source documents for the professional team

  • Order and maintain office stationery and weekly grocery supplies

Technical & Compliance Support

  • Assist accountants with Xero administration and reporting

  • Prepare ASIC forms and general correspondence

  • Liaise with the ATO on various client matters

  • Coordinate tax planning, FBT, and other ad hoc communications

Team & Business Support

  • Provide day-to-day support to our admin and accounting teams

  • Assist with accounts payable and invoice follow-ups

  • Maintain and update procedural documentation to ensure best practices

  • Coordinate internal and client gifts for special occasions

  • Uphold our firm's reputation for exceptional service standards

Who You Are

You're someone who thrives on variety, takes pride in being organised, and loves being the person others can rely on. You bring positive energy to the office and genuinely enjoy helping people.

You'll stand out if you have:

  • Previous experience in an administrative role (experience in accounting, financial planning, or healthcare is highly regarded)

  • Candidates must have full time permanent work rights to be eligible for this position.

  • A minimum of three years' administrative experience is essential for this role.

  • Advanced proficiency in Microsoft Office applications is required for this position.

  • Familiarity with accounting software such as Xero or MYOB (or a willingness to learn!)

  • Excellent organisational skills with the ability to prioritise and manage competing demands

  • Strong attention to detail and accuracy

  • Outstanding communication skills – both written and verbal

  • A warm, professional, and approachable manner

  • The ability to work independently while also being a collaborative team player

  • A proactive attitude with a genuine willingness to learn and grow
