About the Role:

We're seeking a highly organised and proactive Administration Assistant to provide essential support across our business, with a focus on assisting the Executive Assistant, WA Construction team, and broader operational teams.

This role offers variety, exposure to multiple areas of the business, and the opportunity to play a key role in ensuring our projects, people, and operations are supported through efficient administrative processes.

Reporting to the Executive Assistant, you will provide reliable administrative support across mobilisation, project administration, compliance, onboarding, travel coordination, and general business operations. You will help ensure records are maintained accurately, employees are supported, and operational requirements are delivered efficiently.

The position also supports project mobilisation activities and site access requirements, helping employees and contractors meet client and compliance obligations across a range of construction and maintenance projects.

What You'll Be Doing:

  • Providing administrative support to the Executive Assistant, WA Construction team, and other business units as required.

  • Managing document control, filing, data entry, record keeping, and maintaining accurate electronic records.

  • Assisting with mobilisation activities including coordinating travel, accommodation, transport, inductions, training bookings, medicals, and compliance requirements.

  • Supporting site access processes and tracking outstanding mobilisation and compliance documentation.

  • Assisting with employee onboarding, maintaining personnel records, and ensuring documentation is completed accurately and on time.

  • Raising purchase orders, coordinating PPE orders, booking training, and supporting project administration activities.

  • Preparing reports, registers, project summaries, and other business documentation as required.

  • Liaising with employees, managers, clients, and external providers regarding administrative and mobilisation requirements.

  • Providing basic finance administration support, including data entry and invoicing assistance when required.

  • Supporting business continuity by assisting during periods of increased workload, project mobilisation, or staff leave.

What You'll Bring:

  • Previous experience in an administration, business support, or similar role.

  • Strong organisational skills with the ability to manage multiple priorities and deadlines.

  • High attention to detail and accuracy in document management and data entry.

  • Excellent written and verbal communication skills.

  • The ability to maintain confidentiality and handle sensitive information professionally.

  • A positive, professional approach when working with employees, managers, clients, and stakeholders.

  • Strong Microsoft Office skills, including Outlook, Word, Excel, and Teams.

  • The ability to work independently while contributing effectively as part of a team.

  • A willingness to learn new systems and processes.

Highly Regarded:

  • Experience supporting mobilisation, site access, onboarding, or project administration activities.

  • Experience within construction, mining, facilities maintenance, trades, or similar operational environments.

  • Experience coordinating travel, accommodation, training bookings, or purchase orders.

  • Exposure to finance administration, invoicing, or accounts support.

  • Experience using systems such as Employee Connect, SimPRO, HammerTech, or similar business platforms.
