About the role

We are seeking a Scheduler/Administration Coordinator to join the team at Pearmans Electrical and Mechanical Services Pty Ltd. This is a full-time position based in Canning Vale, WA. In this role, you will be the backbone of our administrative operations, ensuring seamless scheduling, efficient communication, and organised record-keeping across our electrical and mechanical services division. You will play a crucial part in supporting our operational teams and maintaining the smooth running of day-to-day activities, directly contributing to the success and growth of our business.

What you'll be doing

  1. Scheduling and coordinating appointments, site visits, and service calls for technicians and engineers

  2. Managing and maintaining accurate records of schedules, timesheets, and service documentation

  3. Communicating with clients to confirm appointments, provide updates, and address enquiries

  4. Processing administrative tasks including invoicing, quotations, and job documentation

  5. Coordinating with multiple departments to ensure efficient resource allocation and project timelines

  6. Maintaining comprehensive filing systems, both physical and digital, ensuring information is easily accessible

  7. Answering incoming phone calls and emails, directing enquiries appropriately

  8. Assisting with data entry, report preparation, and general clerical duties

  9. Supporting compliance with health and safety protocols and company policies

  10. Liaising with suppliers, clients, and internal teams to facilitate smooth operations

What we're looking for

  1. Proven experience in administration, scheduling, or a similar administrative support role

  2. Strong organisational skills with the ability to manage multiple priorities and meet deadlines

  3. Proficiency in Microsoft Office suite and scheduling software

  4. Excellent communication skills, both written and verbal

  5. Attention to detail and accuracy in record-keeping and data entry

  6. Ability to work independently and as part of a team in a fast-paced environment

  7. Professional approach to customer service and internal relationships

  8. Familiarity with the trades or mechanical and electrical services industry (desirable)

  9. Experience using customer relationship management (CRM) systems or similar platforms (desirable)

  10. Relevant qualifications or certifications in administration or office management (desirable)
