Terra Firma Laboratories is a materials testing company with laboratories across Australia. We are seeking an organised, reliable and proactive Administration Assistant to join our Kardinya team on a full-time basis.

This is a great opportunity for someone who enjoys variety, takes pride in being organised, and wants to play an important role in supporting the day-to-day operations of a busy construction materials testing laboratory.

 About the Role

As an Administration Assistant, you will provide key support to the Administrative Coordinator, Laboratory Manager, Project Managers and wider WA team to help ensure smooth and efficient operations.

This role would suit someone who is confident with administration, data entry, scheduling, accounts support and general office coordination.

A key part of this role will involve assisting with scheduling and coordination of technicians, site bookings, project requirements, training, medicals and other operational tasks. You will help ensure jobs are organised, resources are allocated correctly, and the wider team has the information they need to deliver work efficiently.

You will also assist with the mobilisation of staff and equipment to FIFO and regional projects across WA. This may include coordinating travel requirements, accommodation, site access, medicals, inductions, training records, equipment requirements and project documentation to ensure staff are ready and able to attend site.

 Key Responsibilities

Your duties may include:

  • Providing day-to-day administrative support to the Administrative Coordinator, Laboratory Manager and Project Managers

  • Assisting with technician scheduling, site bookings and resource coordination

  • Supporting the mobilisation of staff and equipment to FIFO and regional project sites

  • Coordinating travel, accommodation, site access requirements, inductions, training records and medical bookings

  • Communicating with field staff, laboratory staff and project teams to support daily operations

  • Assisting with accounts-related tasks including data entry, invoicing support and financial record keeping

  • Maintaining and updating quality system documentation

  • Assisting with compliance records, training bookings, medical bookings and staff documentation

  • Coordinating general office administration, correspondence and internal communication

  • Supporting job scheduling, project administration and resource coordination

  • Maintaining accurate records, registers and filing systems

  • Liaising with internal staff, clients and suppliers in a professional manner

  • Assisting with general office tasks to support the wider team

About You

You are organised, detail-focused and able to manage multiple tasks at once. You enjoy supporting others, solving problems and keeping things running smoothly behind the scenes.

The ideal candidate will have:

  • Previous experience in office administration or a similar role desirable, but not essential

  • Strong data entry and computer skills

  • Good attention to detail and accuracy

  • Strong communication and interpersonal skills

  • The ability to prioritise tasks in a busy work environment

  • A proactive and reliable approach to work

  • Confidence using Microsoft Office, including Word, Excel and Outlook

  • Confidence assisting with scheduling, bookings or coordination tasks

  • The ability to work both independently and as part of a team

  • Qualifications and Skills

    To be considered for this role, applicants should have:

    • Experience with Microsoft Office, including Word, Excel and Outlook

    • Strong data entry skills and attention to detail

    • Current Australian driver’s licence preferred

    • Accounts or invoicing experience desirable

    • Scheduling, mobilisation or project administration experience highly desirable

    • Experience with quality management systems desirable, but not essential

    Experience working in construction, laboratory, engineering, mining, civil or technical services desirable, but not essential
